Poster Presentations: Tips, Design, Guidelines & Presentation Style

The poster presentation is a highly-used communication tool for students (undergraduate and graduate) to display and discuss their research experiences, offer researchers and scholars a unique opportunity to disseminate the findings of their work. While formal paper presentations involve verbal sharing with large groups, poster presentations rely on visual impact to communicate with viewers on a more informal, individual basis. Planning a poster presentation can be fun and allows you a great deal of creativity and ingenuity.

Poster Presentation - Instructions
  • Maintain a structure similar to on-site posters, including title of your Poster, Name(s) of the Author(s) and co-authors(s), affiliation(s). The remaining space can be filled with poster content such as Background, Objectives, Methods, Results, Conclusions and References
  • Each poster will be presented to the audience (3 minutes per poster), leaving (2 minutes) for questions and answers. If the candidate wishes to explain the poster in detail, a maximum of 5 slides shall be allowed strictly adhering to the timeline.
  • A photograph of the presenting author can be included in the top right-hand corner to help the audience identify the author. You may use your institutions logo and conference logo wherever applicable in your poster slide
  • Make sure your message is clear and simple. Minimise the amount of text. The use of graphs, images, photographs and other figures is strongly encouraged.
  • Please be present during the time slot of your poster display to answer any queries that the judges may have. The decision of the judges will be final.
  • Do not use any video or animation as only static PDF will be displayed during the poster presentations.

Poster Presentations – Specifications

Language: All Posters should be prepared in English

Duration: 5 minutes in total. Each Poster presentation should not exceed 3 minutes. It will be followed by 2 minutes discussion.

Orientation: Please create your document in PowerPoint in Landscape Layout 16×9 and Save it as a PDF file. Only the final view/status will be visible.

File Format: PDF or PPT file – 1 page is recommended. Good picture quality is essential. When inserting images, photos, tables, etc., use copy-paste. Do not use embedded documents. Avoid overlapping objects and layers.

Poster Size: Please bear in mind that the screen aspect ratio is 16:9. So, prepare your posters accordingly in landscape orientation so as to fit display height 1920 width x 1080 (Maximum 20 MB.)

Font types: Arial, Calibri, Verdana Times New Roman or Helvetica

Font size: 11 points or larger

Images and tables: When inserting images, photos, tables, etc., use copy-paste. Do not use embedded documents. Good picture quality is essential

QR codes: Allowed, with no restrictions on linked content images and tables

Multimedia Content: Not allowed (no videos, animations, or hyperlinks)

Note: Hyperlinks, animated images, animations and embedded videos are not permitted QR Codes may be included in the poster, but cannot link to any promotional or marketing material. If used should link to scientific content relevant to the Poster (ie. additional graphs/images/video clip/CV-publications of the authors)

Proper Naming of Files: : File names must include the following information separated by underscores. When saving your PDF or PPT please do not use symbols or special characters (ie. +/@/ü) in the file name

File saving Format: Presentation Category_ConferenceShortName_AuthorLastName_AuthorFirstName.ppt

Example:Poster_GMSC2025_Jason_Lee.ppt

Kindly note that the guidelines must be followed accordingly for the preparation of your Poster. We also recommend that you submit a backup of your recorded Video of your Poster presentation (3-minutes) and keep it ready for submission in case of any technical issues or absence
